Privacy Policy

ProjectFlow is a construction project management application for builders and trade contractors. It covers projects and scheduling, budgets and cost tracking, estimates and invoicing, site safety records, timecards, updates to clients and an optional AI assistant. ProjectFlow is developed and operated by Wiesner Enterprises NZ ("we", "us", "our"). This policy explains what information we collect through the ProjectFlow app and website (managesite.online), how we use it and how it is protected.

How we use information
- To provide and operate ProjectFlow and the features you use.
- To process subscription payments, and to let a business collect card payments from its own clients.
- To send transactional emails and notifications, such as invoices and reminders.
- To keep the service secure and to fix problems.
We do not sell personal information and we do not use it for advertising.
Who we share information with
We share data only with the services ProjectFlow relies on to work, each acting on our behalf:
- Supabase: database, sign-in and file storage.
- Stripe: ProjectFlow subscription billing, and card payments that a business's clients make on invoices (Stripe Connect). Those client payments go to the business's own Stripe account.
- Resend: sending transactional email.
- Netlify: hosting the app.
- Google: Google sign-in if you choose it, and the Gemini API that powers the AI assistant.
- Browser push services (operated by Google, Apple or Mozilla, depending on your device): delivering push notifications.
- TradeFlow: only if you connect your TradeFlow account, in which case the details needed for that integration are exchanged between the two apps at your request.
The app also loads fonts and open-source libraries from Google Fonts, jsDelivr and the Quill CDN, which means those providers can see your IP address when a page loads. Each provider has its own privacy practices.
The AI assistant (Ask ProjectFlow)
The assistant is switched on by default for everyone. You can switch it off, or back on, at any time in Settings > AI Assistant. Nothing is sent to the assistant unless you send it a message.
When you send a message, the text of your message (and your earlier messages in that chat) plus the account records needed to answer it, such as the projects, tasks, costs or invoices it looks up, are sent to Google's Gemini service, which generates the reply under Google's own terms. The assistant can make simple changes directly, for example adding a task, logging an expense or hours, or drafting a purchase order. For anything with real consequences, such as sending an invoice, marking one paid, receiving a purchase order or deleting something, it shows you what it is about to do and waits for your confirmation. It never changes your branding or payment details. A log of the actions it takes is kept with your account and is deleted when your account is deleted. If you use the microphone button, your browser's own speech recognition converts your voice to text; that is handled by your browser and its provider, not by us.
Cookies and local storage
ProjectFlow uses your browser's local storage to keep you signed in and to remember your language. We do not use advertising or cross-site tracking cookies.
Data security
Data is encrypted in transit over HTTPS. Passwords are stored encrypted and never in plain text. Access to a company's data is limited by database rules to the people in that company, and a client portal link only shows the information a company chooses to share through it.
Data retention
We keep account and company data while an account is active, or as needed to meet legal, accounting or tax obligations. You can ask us to delete it at any time. See Data deletion below.
Your rights
Depending on where you live, you may have rights to access, correct, export or delete your personal information, and to object to or restrict some processing. These include rights under New Zealand's Privacy Act 2020 and, for users in Australia, the Australian Privacy Principles under the Privacy Act 1988. ProjectFlow is not marketed or offered to individuals or businesses in the European Economic Area, the United Kingdom or the United States (see "Where we offer this service" in the Terms of Service), so we do not represent that we comply with the EU/UK GDPR or US state privacy laws such as the CCPA. As a matter of policy, though, we extend the same practical rights described here — access, correction, export and deletion — to every user, regardless of location. To use them, contact us using the details below.
Children's privacy
ProjectFlow is a business tool for construction professionals. It is not directed at children under 16 and we do not knowingly collect their information.
Changes to this policy
We may update this policy from time to time. Material changes will be shown by an updated "Last updated" date above.

Terms of Service

ProjectFlow is developed and operated by Wiesner Enterprises NZ. These Terms govern your access to and use of ProjectFlow. By creating an account or using the app you agree to them.
1. The service
ProjectFlow provides project management tools for builders and trade contractors, including scheduling, budgets, estimates and invoicing, site safety records, timecards, client updates and an optional AI assistant.
2. Where we offer this service
ProjectFlow is offered to businesses and individuals in New Zealand, Australia, and other countries worldwide. It is not marketed, offered, or intended for use by individuals or businesses located in, or ordinarily resident in, the European Economic Area (EEA), the United Kingdom, or the United States of America, including their territories and possessions (the "Excluded Territories"). By creating an account, you represent that neither you nor the business you represent is located in, incorporated in, or ordinarily operating from an Excluded Territory.
We do not represent or warrant that ProjectFlow, or these Terms, comply with laws specific to the Excluded Territories, including the EU/UK GDPR, the UK Data Protection Act 2018, or United States federal or state privacy laws. If you access or use ProjectFlow from an Excluded Territory despite this restriction, you do so at your own risk and in breach of these Terms, without any greater rights or protections than those set out in these Terms and our Privacy Policy. We may suspend or refuse service to any account we reasonably believe is based in an Excluded Territory.
3. Accounts and companies
An account belongs to a company workspace. The person who creates the workspace is its owner and is responsible for who they invite, for the accuracy of the information provided and for keeping sign-in details confidential. You are responsible for all activity under your account.
4. Free trial and subscription
New workspaces start with a 14-day free trial. After that, continued use requires a paid subscription billed monthly to the workspace. Pricing, billing, cancellation and refunds are covered in the Refund and Cancellation Policy below.
5. Acceptable use
You agree not to use ProjectFlow to break any law, upload malicious code, attempt to gain unauthorised access to any part of the service or to another company's data, or interfere with the service for others.
6. Your data
Your project, business and client data remains yours. You give us permission to store and process it only so that we can provide the service to you.
7. Payments between you and your clients
Where ProjectFlow lets a business collect card payments from its own clients, those payments are processed by Stripe under Stripe's terms and go to the business's own Stripe account. We are not a party to those transactions.
8. AI assistant
The AI assistant is switched on by default; you can switch it off in Settings. It can produce inaccurate or incomplete answers, and it can make simple changes on your behalf (for example logging an expense or hours). You are responsible for checking what it says and records before relying on it, in particular for anything to do with safety, contracts, pricing or money. It asks for your confirmation before consequential actions. A monthly message limit applies, and we may change or withdraw the assistant's abilities.
9. Safety and professional responsibility
ProjectFlow helps you record and organise information. It does not replace professional judgement, site supervision or your legal obligations under health and safety, building or employment law.
10. Intellectual property
ProjectFlow, including its design, software and original content, is owned by Wiesner Enterprises NZ and protected by applicable intellectual property laws.
11. Disclaimer and limitation of liability
ProjectFlow is provided "as is" without warranties of any kind. To the maximum extent permitted by law, we are not liable for indirect, incidental or consequential loss arising from use of the service. Nothing in these Terms limits any rights you have under consumer law that cannot be excluded.
12. Termination
You may stop using ProjectFlow and ask for your account to be deleted at any time. We may suspend or end access for a breach of these Terms.
13. Governing law
These Terms are governed by the laws of New Zealand. You agree that the courts of New Zealand have exclusive jurisdiction to resolve any dispute arising from or relating to these Terms or your use of ProjectFlow.
14. Changes
We may update these Terms from time to time. Continuing to use ProjectFlow after a change takes effect means you accept the updated Terms.

Service Agreement

This Service Agreement supplements the Terms of Service and describes what you can expect from the ProjectFlow service day to day. Where anything here conflicts with the Terms of Service, the Terms of Service govern.
Availability
We aim to keep ProjectFlow available and reliable, but we do not guarantee uninterrupted access. Scheduled maintenance, or an outage at one of our infrastructure providers (Supabase for the database, Netlify for hosting, Stripe for payments, Resend for email, or Google for sign-in and the AI assistant), can occasionally affect availability. This plan does not include a contractual uptime guarantee or service credits.
Working offline
ProjectFlow is designed to keep working with a poor or absent connection at a job site: your schedule, tasks and job details stay available, and changes you make while offline are queued and sent automatically once your connection returns. This reduces, but does not remove, the need for an internet connection — some features (payments, sending invoices, the AI assistant, inviting team members) require you to be online, and changes made on more than one device while offline can only be reconciled once they sync.
Support
Support requests can be sent to the contact email below. We aim to respond within a reasonable timeframe, but response and resolution times are not contractually guaranteed under this plan.
Data backup
Your data is stored with our database provider, Supabase, which maintains its own backup infrastructure. We recommend periodically using the CSV export options in the app for your own records, particularly before a major change to your workspace.
Changes to features
Features are added, changed or removed over time as ProjectFlow is developed further. We will make reasonable efforts to communicate significant changes that affect core functionality, but this plan does not include advance notice of every change.

Refund and Cancellation Policy

This policy covers ProjectFlow's own subscription fees, billed by Wiesner Enterprises NZ through Stripe. It does not cover payments that a client makes to a business through an invoice created in ProjectFlow. Those are between the business and its client.
Free trial
Every new workspace has a 14-day free trial that starts when the account is created. No card is needed and nothing is charged during the trial.
Subscription billing
After the trial, ProjectFlow is a flat monthly subscription per workspace, at the price shown when you subscribe (currently US$29 per month), with unlimited projects and team members. It renews automatically each month until cancelled, using the payment method on file.
Price changes
We may change the subscription price. If a change increases the price for an existing subscriber, we will give at least 3 months' notice by email or in the app before the new price takes effect. If you do not want to continue at the new price you can cancel before it takes effect. New subscribers pay the price in force when they subscribe.
Cancellation
The workspace owner can cancel at any time in the app under Settings, Billing, Manage billing, or by emailing us. Cancelling stops future billing and access continues to the end of the period already paid. It does not delete your account or data. See Data deletion for that.
Failed payments
If a payment fails, the workspace has a 7-day grace period to update its payment method. After that, access is paused until the subscription is paid or restarted. Your data is not deleted when access is paused.
Refunds
Subscription fees already charged are generally non-refundable, including for part of a billing period. We will consider a refund at our discretion in cases such as a duplicate charge, a billing error on our part, or a technical problem that stopped you using the service in a meaningful way. To ask for one, contact us within 14 days of the charge with your account email and the reason. This does not limit any rights you have under consumer law.
Chargebacks
If you think you have been charged in error, please contact us first so we can fix it quickly, before disputing the charge with your bank or card provider.

Data Deletion

You can delete your ProjectFlow account and the data associated with it at any time. This is a real deletion, not a deactivation.
How to delete your account
- In the app: sign in, open Settings, scroll to Delete account, and follow the steps. You will see exactly what happens to your workspace before anything is deleted, and you confirm by typing your email address. If your access has been paused for a missed payment, the same option is on the screen that asks you to subscribe, so you never have to pay to delete your account.
- By email: if you can't sign in, email service@wiesnerenterprisesnz.com from the email address on your account with the subject "Data Deletion Request". We will verify the request and delete the account within 30 days.
What happens
- You are the only member of your workspace: the whole workspace is deleted with your account, including projects, tasks, budgets, invoices and estimates, logs, photos and files, contacts, documents, safety and timecard records and notification settings. If it has a subscription, the subscription is cancelled immediately and its billing record is removed from Stripe where Stripe allows.
- You own a workspace that has other members: ownership passes automatically to a project manager, or to the longest-serving team member, and the workspace stays open for the rest of the team. Your account is deleted. Records you created stay with the company and are no longer linked to your account.
- You are not the owner: you are removed from the workspace and your account is deleted. Records you created stay with the company and are no longer linked to your account.
In every case your sign-in details, personal settings, AI assistant settings and history, push notification subscriptions and reminders are permanently erased.
If you have an active subscription and are not the last member, please cancel it first (see the Refund and Cancellation Policy). Deleting an account does not refund the current billing period.
What we may keep
We may keep some records where the law requires it, for example payment and invoicing records needed for tax or accounting, which are also held by Stripe as the payment processor. Names typed into free-text safety and inspection records in a workspace that continues to exist remain part of that company's records. We will tell you at the time if any of this applies.
Timeframe
In-app deletion happens immediately. Email requests are processed within 30 days of verification, and we will confirm by email when it is done.

End User License Agreement (EULA)

This End User License Agreement ("EULA") governs your use of ProjectFlow, the subscription project management software developed and operated by Wiesner Enterprises NZ ("we", "us", "our"), however you access it — as a web app at managesite.online, as an Android app through Google Play, or as a Windows app through the Microsoft Store or Softonic, including any related updates. This EULA supplements the Terms of Service; where the two overlap, both apply, and where they conflict on a matter of software licensing specifically, this EULA governs.
1. Grant of license
Subject to your compliance with this EULA and payment of any applicable subscription fees, we grant you a limited, non-exclusive, non-transferable, revocable licence to access and use ProjectFlow for your own construction or trade contracting business. This licence covers one company workspace and, consistent with ProjectFlow's flat-rate pricing, an unlimited number of team members within that single workspace.
2. Scope of use
This licence is for the operation of a single business. It does not permit you to:
- use one ProjectFlow workspace to run or manage a separate, independent business as if it were a white-label or reseller platform;
- provide ProjectFlow access to a third party as a bureau service, on a fee-for-use basis, or on their behalf;
- share a paid workspace across unrelated businesses to avoid subscribing separately.
3. Restrictions
You agree not to:
- reverse engineer, decompile or disassemble any part of ProjectFlow, except to the extent this restriction is prohibited by applicable law;
- copy, resell, sublicense, rent, lease or distribute ProjectFlow or access to it;
- modify, adapt or create derivative works based on ProjectFlow;
- remove, obscure or alter any branding, trademark or proprietary notice within the app;
- use ProjectFlow, or data obtained from it, to build, train or improve a competing product or service.
4. Subscription, trials and term
This licence remains in effect for as long as your subscription is active, including during the 14-day free trial. If a subscription lapses, is cancelled, or a payment fails and the grace period ends, the licence to access ProjectFlow ends, though this does not by itself delete your workspace or data — see the Data Deletion section for how that is handled separately.
5. Intellectual property
ProjectFlow — its software, design, source code and branding — is owned by Wiesner Enterprises NZ and protected by applicable intellectual property laws. Nothing in this EULA transfers ownership of ProjectFlow to you. Your own project, business and client data, and content you create or upload, remain yours, as set out in the Privacy Policy.
6. Third-party components and app stores
ProjectFlow relies on third-party infrastructure, including Supabase, Stripe, Resend, Netlify and Google (for sign-in and the AI assistant), each governed by its own terms. If you install ProjectFlow through Google Play, the Microsoft Store, or Softonic, your download and installation is also governed by that store's own terms and policies; where a store's mandatory terms conflict with this EULA, the store's terms govern that specific point for downloads made through that store, and this EULA continues to govern everything else, including your use of the account once installed.
7. Updates
We may update, patch or modify ProjectFlow from time to time, including through whichever store you downloaded it from. Continued use after an update takes effect means you accept the updated software under this same EULA.
8. Disclaimer of warranties
ProjectFlow is provided "as is" and "as available," without warranties of any kind, whether express or implied, including any implied warranty of merchantability, fitness for a particular purpose, or non-infringement.
9. Limitation of liability
To the maximum extent permitted by law, Wiesner Enterprises NZ is not liable for indirect, incidental, special or consequential damages arising from your use of, or inability to use, ProjectFlow, even if advised of the possibility of such damages. Nothing in this EULA limits any right you have under consumer law that cannot be excluded.
10. Termination
This licence terminates automatically if you breach this EULA, or if your subscription ends for any reason. On termination, your right to access ProjectFlow ends immediately; provisions that by their nature should survive termination (including sections 5, 8 and 9) continue to apply.
11. Governing law
This EULA is governed by the laws of New Zealand, and you agree that the courts of New Zealand have exclusive jurisdiction over any dispute arising from it.
12. Changes to this EULA
We may update this EULA from time to time. Continued use of ProjectFlow after changes take effect means you accept the revised EULA.
